On an employee's personal record, there are benefit-related fields that help determine an employee’s eligibility and stability period. Management users are able to review this information in the Health Benefit Eligibility Information section that is visible on the management view of Work Status section an employee’s personal record. This information is additionally available when generating a QuickList report.
Updating these fields is easily managed through various available eAction Notices (EANs). Based on a manager's provided access rights, managers are able to create one of these EANs to designate items such as if an employee is seasonalseasonal, has variable hours (and the employee's variable hour thresholdthreshold), as well as an employee’s stability period.
Variable Hour Monitoring Threshold Notification Option
By indicating a weekly hour threshold through the use of the Variable Hour Monitoring Threshold field, ExponentHR will systematically perform a weekly hours worked analysis upon conclusion of each pay period cycle for the employee. If it is determined that the employee’s designated threshold is reached for the Lookback period, an Employee Exceeds Hour Threshold event-driven notification will be sent to the respective employee’s time clock supervisor.
Note: This optional field is independent of the Variable Analysis reporting tool and serves as an additional resource for monitoring employee hours.
Seasonal Employee Status Field
Utilizing the Seasonal Employee Status field, organizations that routinely alter their workforce based on seasonal influxes are able efficiently administer “seasonal” employees. The seasonal status field allows your organization to effectively suspend an employee from payroll and benefits without actually terminating their employment on a permanent basis. By using this field to indicate that the seasonal employee is currently “Inactive,” the employee will be removed from benefit eligibility, paid leave accruals, Time Clock Review, and, optionally, from survey participation.
Note: It is possible to make a payroll payment to a seasonally inactive employee, but to do so, the employee must be forcibly added to the time clock batch.
