Changing an Employee's Benefits Enrollment Through an Administrative Override

Use this life event to make an administrative change to an employee's benefits coverage. This option will allow any change to the employee/dependent elections, including those that are outside the standard time window of 30 days following the effective date of the life event.

A wizard will step you through the process necessary to complete the benefits change request. If you need to override supplemental life coverage limits (for example, if an employee's EOI was approved), see the Related Help Topics below.

One of your employees had a baby six weeks ago. Due to a family emergency, they missed the 30-day window to report the life event and elect coverage for the newborn. Submit the life event on their behalf using an Administrative Override.

 

To change an employee's benefits enrollment:

1.   On the Management Navigation Menu, click Benefits > Life Events.

The Life Events page displays.

2.   Select the employee for whom you would like to report a life event from the Employee drop-down box.

3.   In the Create New Life Event section, select Administrative Override Life Event type.

The Life Event Wizard displays.

4.   Enter a date (in the format mm/dd/yyyy) in the Effective Date text box.

Note: Use the desired effective date for the override changes. The override may be submitted up to 30 days before the effective date.  

5.   Describe the purpose and circumstances behind the administrative override in the Life Event Notes text box.

6.   If there are any files you would like to attach to assist with the validation of the life event, they may be added in the Supporting Documents section. 

7.   Click the Start Wizard button.

The Life Event - Dependent Changes page displays.

8.   If you will be adding dependents to the employee's coverage as a result of this Life Event, click the Add Dependent button to create new dependent records for these dependents.

9.   After completing all necessary dependent changes, click the Next button.

The Life Event Wizard (Information) page displays.

10.   Click the Next button.

The Life Event Wizard - Current Year Elections page displays.

Notes:

11.  To make any necessary changes to the employee's current year coverage, click the Edit icon corresponding to the relevant plan.

Note: Be sure to include all desired changes for this Life Event before continuing on to the next step. This would include enrolling new dependents into a particular plan, changing plans, or waiving coverage previously selected.

12.  After completing all Current Year elections, click the Next button.

The Life Event Wizard (Information) page displays.

13.  Click the Next button.

The Life Event Enrollment Validation page displays.

Note: The Validation process will verify that all modified elections meet certain enrollment rules according to your plan rules. If critical errors are encountered, they will be indicated in this report. You must correct these errors before submitting the Life Event.

14.  Carefully review all information on this report.

Note: If you need to adjust any information, click the Previous button and return to the Benefit Enrollment screen.

15.  If you are satisfied with these elections, click the Print button to obtain a printed copy of this report.

16.  Click the Next button.

The Life Event Wizard (Information) page displays.

17.  Click the Next button.

The Life Event Summary page displays all changes to the employee's record as a result of the administrative override.

18.  If all changes are accurate, click the Approve button.

Result: When the designated effective date is reached, all changes will be reflected in the employee's records.

Note: Although you may exit the life event wizard at any time by clicking the Exit button, exiting the life event does not delete it. The life event will remain in the system until you complete it or delete it.
