Managing Offers of Employment

When initiating the onboarding process for an individual, you have the option to extend an offer of employment directly through the Onboarding Utility or through the New Hire/Re-Hire EAN.  When utilized, the current status and progress of an offer letter is easily accessible on the Onboarding Dashboard.  Additionally, hired employees may access the electronically signed offer letter on their personal Employee Onboarding page, which may be helpful when needing to provide a copy as proof of employment (such as to a lender or landlord).

Helpful Tip:  To monitor trends or other metrics regarding the offer letter portion of the onboarding workflow, a Onboarding Offer Status Report is accessible through the Options drop-down menu.

 

 

To access the details and perform various actions for an offer letter :

1.   On the Menu, click HR Administration >  Employee OnboardingHR Administration >  Employee Onboarding.

The Onboarding DashboardOnboarding Dashboard displays.

2.   Select the Offers tab.

The details on the OffersOffers tab displays.

3.   Click on the candidate's name to view the details of his/her offer of employment.

The Offer DetailOffer Detail page displays with the text of the most current offer of employment extended to the candidate.

4.   Under the Actions drop-down list, users may perform any of the following actions:

Re-Send Link to Offer LetterRe-Send Link to Offer Letter

To have the offer of employment re-sent to the same or different email address, select the Re-Send Link to Offer Letter option.  This option may be used whether the offer letter has been viewed or not.

Extend Offer DeadlineExtend Offer Deadline

In the event that the set deadline for a candidate to respond to an offer of employment needs to be extended, select the Extend Offer Deadline option and enter the new offer expiration date.

Manually Set Offer StatusManually Set Offer Status

Through the candidate's view of the Onboarding Portal, a response (accept or decline) can be provided electronically.  However, if a candidate chooses to provide a response through an alternate method, you are able to manually update the status of the offer of employment by selecting the Manually Set Offer Status option.  Within the drop-down list, the status can be immediately updated to Accepted, Declined, or Expired.

Assign Onboarding CoordinatorAssign Onboarding Coordinator

The Assign Onboarding Coordinator option may be used to transition the overview responsibilities of the candidate's onboarding process to an alternate user with appropriate access rights.

5.  Click the Back to Dashboard button to return to the Offers tab of the Onboarding dashboard.
